Major Responsibilities
• Review, proof, and approve land agreements (oil and gas leases, ROWs, water use, production sharing) for setup in Quorum (or similar land system), ensuring accuracy and data integrity
• Maintain assets by identifying and setting up complex provisions, payments, and obligations in land system for reporting and calendar tracking
• Build and maintain CPI Summaries for agreements with escalating payments, calculating and tracking inflation adjustments per agreement terms and the Consumer Price Index
• Track leases in land system for producing and non-producing acreage and depths based on review of documentation and title in files
• Update agreement records in land system with incoming amendments, assignments, and releases received via email or the lease records workflow
• Review payment, obligation, and expiration eCalendars monthly to ensure timely, accurate payments to owners and corresponding land system updates
• Oversee out-of-cycle check requests, including land system setup and processing with Accounting
• Prepare calendar payments for certified mailing and maintain the Land payment report covering all calendar and out-of-cycle mailouts
• Follow lease records filing procedures for all actions, correspondence, and tasks in document management system to maintain complete, accurate records
• Support other departments and team members as needed
• Deliver system reporting and ad hoc projects as needs arise
• Analyze complex title, lease, and contract documentation to summarize company ownership and obligations
• Support due diligence on acquisitions and divestitures
• Produce detailed analyses of leases and contracts
• Ensure accurate, timely mailout of extension, rental, shut-in, minimum royalty, and other land payments to landowners
• Resolve administrative and technical issues as they surface
• Communicate and document requests and issues involving leases, contracts, and other legal documents
• Process ownership changes and oversee lease records cleanup
• Perform general lease records maintenance in the land system, ensuring thorough, accurate documentation
Education, Experience & Skills
• Bachelor’s degree preferred
• Minimum 5 years of industry experience in lease records
• Eagle Ford experience preferred
• Demonstrated understanding of: Land administration principles, including analysis and maintenance of various agreement forms, complex lease and contract terms and provisions, title issues affecting oil and gas leases
